JOB DESCRIPTION: 

Thurgood Marshall College Fund (TMCF) is the nation’s largest organization exclusively representing the Black College Community. TMCF member-schools include the publicly supported Historically Black Colleges and Universities (HBCUs) and Predominantly Black Institutions (PBIs).

The Senior Coordinator, Accounts Payable and Grants is responsible for managing the accounts payable functions and overseeing the financial management of grant-related activities. This position requires a detail-oriented and systematic individual with a strong background in accounting principles and grant management protocols.

Assistant Director of Accounts Payable

 

Responsibilities

 

 In the capacity of Senior Coordinator, Accounts Payable and Grant, the responsibilities include:

  • Manage the accounts payable process, including invoice processing, payment disbursement, and vendor communication.
  • 1-2 years of relatable experience
  • Ensure that all payments are processed timely and accurately, with appropriate documentation and approval.
  • Maintain accurate records and control reports for all payables transactions.
  • Reconcile processed work by verifying entries and comparing system reports to balances.
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
  • Pay employees by verifying expense reports and preparing paychecks.
  • Pay vendors by scheduling and preparing checks and resolving purchase orders, contracts, invoices, or payment discrepancies.
  • Maintain historical records by filing documents electronically.
  • Report sales taxes by calculating requirements on paid invoices.
  • Provide accurate and efficient grant financial administration from pre-award to post-award stages, including tracking expenditures, reporting, and compliance monitoring.
  • Coordinate with program departments to ensure grant budgets are managed effectively, and expenses are within the grant’s scope.
  • Prepare financial documentation for grant applications, including budgets and financial reports.
  • Liaise with donors, financial auditors, and other stakeholders on grant-related matters.
  • Assist with the development of internal control policies, guidelines, and procedures for activities such as budget administration, cash and credit management, and accounting.
  • Contribute to team efforts by accomplishing related results as needed.
  • Other duties as assigned.

 

Required Competencies and Qualifications

  • Bachelor’s degree in finance, accounting, or a related field. ( Preferred)
  • A high school diploma is required.
  • A minimum of 5 years of experience in accounts payable and grant management.
  • Proficiency in accounting software, Microsoft Office Suite, especially Excel.
  • Knowledge of accounting principles, practices, standards, laws, and regulations.
  • High attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Analytical and problem-solving skills.
  • Ability to work independently and as part of a team.
